Manage and track your film inventory

Overview

The Inventory section in Filmbase is where you manage all your film stocks. This centralized repository allows you to track what film you have, how much of it remains, and when it expires.

Viewing Your Inventory

The Inventory page displays all your film stocks in a detailed table format with the following columns:

  • Name: The film stock name (e.g., Kodak Portra 400 (135))
  • # of Rolls: Current quantity available
  • Brand: Manufacturer (e.g., Kodak, CineStill, Ilford)
  • Stock: Specific stock type (e.g., Portra 400, HP5 Plus)
  • Box ISO: Film speed rating
  • Format: Film format (35mm, 120, Instant)
  • Process: Development process (Color, B&W, E-6, ECN-2)
  • Expiration Date: When the film expires
  • Rolls Purchased: Total quantity acquired
  • Rolls Shot: How many have been used

You can search for specific film stocks using the search bar at the top of the inventory list.

Adding Film to Inventory

To add a new film stock to your inventory:

  1. Click the Add Film button in the top-right corner

  2. Complete the form with the following information:

    • Name: Enter a name for this inventory item
    • Base Quantity: Enter the number of rolls you have to start with
    • Brand Name: Select a film manufacturer (e.g., Kodak, CineStill, Ilford)
    • Stock Name: Enter the specific film stock (e.g., Portra 400, 400D, HP5)
    • Box ISO: Enter the ISO/ASA rating of the film
    • Film Format: Select from 35mm, 120, or Instant
    • Process: Select the development process (Color, B&W, E-6, ECN-2)
    • Expiration Date: Set the expiration date if applicable
  3. Click "Add Film" to save the new inventory item

Filmbase will automatically track the relationship between your inventory, purchases, and film log entries.

Editing Inventory Items

To edit an existing inventory item:

  1. Locate the film stock in your inventory list
  2. Click the pencil (edit) icon on the right side of the row
  3. Update any fields as needed
  4. Save your changes

Editing allows you to correct information or update details like expiration dates.

Deleting Inventory Items

To remove a film stock from your inventory:

  1. Find the film in your inventory list
  2. Click the trash (delete) icon on the right side of the row
  3. Confirm the deletion when prompted

Note: Deleting an inventory item will affect related Purchases, Film Log entries, and statistics.

Inventory Management Best Practices

  • Regular Audits: Periodically check your physical inventory against what's listed in Filmbase
  • Expiration Tracking: Pay attention to expiration dates and prioritize using older film first
  • Consistent Naming: Use consistent naming conventions for easier searching and sorting
  • Stock Planning: Monitor low inventory items to plan future purchases
  • Format Organization: Consider creating separate inventory items for the same film in different formats (e.g., Portra 400 in 35mm vs. 120)

Relationships with Other Modules

The Inventory module connects directly with:

  • Purchases: When you record new purchases, inventory quantities automatically update
  • Film Log: Using film reduces inventory quantities when rolls are marked with a new Film Log entry
  • Dashboard: Inventory data feeds into the statistics and charts on your Dashboard

An accurate inventory is foundational to have reliable data throughout the rest of Filmbase.
